V2 customer portal and registration site

How to switch on the new V2 registration site and customer portal, what your customers will see and how to brand them.

Overview

V2 is a rebuilt version of the two parts of Intellibook your customers use:

  • Registration site - where customers find out about your trip or event and book.

  • Customer portal - where customers manage their booking afterwards and make payments.

Both are faster and more intuitive than the classic versions, work well on phones and can be branded to match your business. This article covers what's included, how to switch each one on and how to customise their appearance.

The Classic portal experience will be retired on 31 December 2026. We recommend switching to V2 now to take advantage of the new design and give yourself plenty of time to test it with your setup. If you have questions or need help making the switch, get in touch.

Registration site

The V2 registration site takes customers through booking in three clear steps: choose a package, add attendees and confirm. It includes:

  • Information pages for your trip or event, plus Enquiry and Map tabs

  • Package selection, with promo codes and a place for travel agents to enter their agent code when booking on behalf of a client

  • Attendee details, including referral codes if you use customer referral

  • Add-ons customers can choose while they book

  • A running cost summary and a timer showing how long their places are held while they finish booking

You can switch it on for all your products at once, or try it on a single product first (see Trying the registration site on one product below)

Customer portal

The V2 customer portal replaces the classic portal and payment pages. From one place, customers can:

  • see an overview of their booking and who's on it

  • pay a deposit or the full balance, for the whole booking or for an individual attendee

  • choose how to pay, with any processing fees shown up front

  • start a payment plan if you offer one

  • add extras to their booking

  • view documents and attachments you've shared with them

Once it's switched on, every portal and payment link for your organisation opens the V2 portal, including links customers received before you switched.

Switching on V2

The registration site runs on the new portal, so switch on the portal first:

  1. Go to Settings > Organisation > Public Pages.

  2. Under Portal V2 Settings, change Portal Experience from Classic to V2.

  3. Optionally, choose the Domain your portal is served from. Contact Intellibook Support if you'd like a custom domain.

  4. Change Registration Experience from Classic to V2. This option appears once Portal Experience is set to V2.

  5. Click Save.

Trying the registration site on one product

You can set the registration experience for individual products, which is handy for trying V2 on one trip before rolling it out:

  1. Make sure Portal Experience is set to V2 (see above).

  2. Go to Products, open the product and go to its Settings tab.

  3. Under Registration Settings, set Experience to V2 (or Classic). Leave it on - Default - to follow your organisation-wide setting.

The customer portal can't be set per product. It's always on the organisation-wide setting.

Customising the Appearance

The V2 portal pages introduce a flexible theming system. You can set organisation-wide defaults, and optionally override them on a per-product basis for tour-specific branding.

Colour Scheme

The following colour roles can each be set to Default (Intellibook's built-in colours) or Custom (your own hex colour):

To set a custom colour, select Custom next to the relevant setting and use the colour picker to choose your value.

Header

You can display a hero image across the top of the portal:

• Image URL — a publicly accessible PNG or JPEG file URL

• Minimum Height (px) — controls how tall the header image area is (e.g. 300)

Sidebar

• Logo URL — your company or brand logo, displayed in the sidebar of the portal. Must be a publicly accessible image file.

Social Media Links

Add links to your social profiles and they will appear in the portal sidebar:

• X (Twitter)

• Meta (Facebook)

• Instagram

• YouTube

Product-Level Overrides

If you run multiple tours and want different branding for each, you can override any of the above settings at the product level.

5. Go to Products and open the relevant product

6. Navigate to the Settings tab

7. Scroll down to the Portal Overrides section

The same colour scheme, header, sidebar, and social settings are available here. Any setting left on Default at the product level will fall back to your organisation-wide configuration.

Frequently Asked Questions

Can I switch back to Classic?

Yes, until 31 December 2026. Go to Settings > Organisation > Public Pages and change Portal Experience or Registration Experience back to Classic. Your customers will see the classic pages straight away.

Do existing booking links still work?

Yes. Which version a customer sees depends on your current setting, not on the link, so links sent before you switched open the V2 pages.

Can different products use different portal versions?

No - the portal version is set at the organisation level. However, branding and colours can be customised per product using the product-level overrides described above.

What happens on 31 December 2026?

The classic pages will be retired. Any account still on Classic will be moved to V2 automatically, with Intellibook's default colours. We recommend switching before then so your branding is in place.
