Overview
The Intellibook HubSpot integration automatically syncs your booking and attendee information to HubSpot, enabling you to leverage HubSpot's powerful marketing automation tools beyond Intellibook's native email capabilities.
For customers using the legacy customer portal, the HubSpot chat widget can also be integrated if needed.
How It Works
Contact Creation
When a customer books, the integration automatically creates a new HubSpot Contact (if one doesn't already exist) including the customer's email, first name, and last name to HubSpot
Deal Creation
Each Intellibook booking is represented as a Deal in HubSpot, linked to the corresponding Contact.
💡 Note: If a customer makes three separate bookings over time, you'll have one HubSpot Contact with three associated Deals.
Synced Properties
The following booking information is automatically synced to each HubSpot Deal. You'll find these properties in HubSpot under two groups - "Contact Information" and "Intellibook".
Booking Identifiers
Attendee ID - Unique identifier for the attendee
Booking ID - Unique identifier for the booking
Booking URL - Direct link to the booking
Access Token - Booking access token
Product Information
Product - Name of the booked product
Product Code - Product identifier code
Product Option - Selected product option
Product Option Code - Product option identifier
Product Option Arrival - Arrival date for the product option
Customer Information
Gender - Customer's gender (Male, Female, or Other)
Date of Birth - Customer's date of birth
Booking Status
Attendee Status - Current status of the attendee
Booking Status - Current status of the booking
Financial Information
Charges - Total charges for the booking
Payments - Total payments received
Balance - Outstanding balance
Additional Services
Add-ons - Any add-on services selected for the booking
Real-Time Updates
The integration keeps your HubSpot data current by automatically updating Deal properties whenever changes are made in Intellibook, including:
Name changes
Financial updates (charges, payments, balance)
Booking status changes
Any other property modifications
This ensures your HubSpot records always reflect the latest booking information without manual intervention.
Setting up the HubSpot Integration
Sign up for a HubSpot account at https://hubspot.com.
In Intellibook, open the "Settings > Integrations > CRM" tab.
Under "HubSpot", click "Connect" to log in and authorise the Intellibook -> HubSpot integration.
Setting up the Chat Widget (optional)
In HubSpot, open "Conversations > Chatflows":

On the final step, take note of the unique identifier within the JavaScript snippet (in the below example. the ID is 20713533. Stay on this step until you have completed the following steps in Intellibook.
In Intellibook, open the "Settings > Integrations > CRM" tab.
Under "HubSpot", click the "Edit" button and paste in the ID from your HubSpot JavaScript snippet as well as ticking which pages you want Intercom to load on:
Click "Save" to persist these settings in Intellibook.
Open a customer portal or payment page (depending on which you have enabled in the previous step) so that the HubSpot code is triggered. At this point, you may yet not see a HubSpot chat icon (as it is not fully activated).
Back in HubSpot, complete the setup process. This will verify that the code is loaded in the customer portal or payment page and activate the chat widget.
After successfully completing the verification process, you should now be able to see the HubSpot chat icon show in the bottom-right corner of any customer portal or payment page.
